Privacy Policy

This Privacy Policy describes how Seeds Analytic SAS ("Seeds Analytic", "we") collects, uses, stores, and protects information in connection with the Shinkiro platform (the "Service"), a multi-tenant SaaS platform that lets businesses deploy AI-powered customer support agents over channels such as WhatsApp Business and an embeddable web widget.

1. Data controller

The data controller is Seeds Analytic SAS. For any privacy or data protection inquiry, contact us at contac@seedsanalytic.com.

2. Data we collect

  • Account data: name, email address, and credentials needed to create and manage your account and your organization's account.
  • Configuration data: documents, text, and knowledge bases you upload so the AI agents can answer questions using RAG (Retrieval-Augmented Generation).
  • Conversation data: messages exchanged between end users and the agents through WhatsApp Business or the web widget, along with technical metadata (conversation identifiers, timestamps).
  • Usage and technical data: activity logs, IP address, browser type, and Service usage metrics.
  • Billing data: information needed to manage your subscription and tier. Payment processing is handled by third-party providers; we do not store full card details.

3. How we use data

  • Provide, operate, and maintain the Service.
  • Generate AI agent responses from your knowledge base.
  • Manage accounts, subscriptions, and tiered billing.
  • Improve the quality, security, and performance of the platform.
  • Comply with legal obligations and prevent fraudulent or abusive use.

Conversation data is processed in real time to generate the agent's response and is not retained beyond the time needed to provide the Service, unless the law requires otherwise or the customer configures its retention.

4. WhatsApp Business and Meta integration

Shinkiro integrates with Meta's WhatsApp Business Platform to send and receive messages on the customer's behalf. Use of this integration is also subject to Meta's policies. We only access the data needed to deliver and respond to messages, and we do not use it for advertising purposes nor sell it to third parties.

5. Providers and third parties

To provide the Service we rely on cloud infrastructure providers, artificial intelligence models, and payment processors. These providers process data solely on our instructions and under confidentiality and security obligations. We do not sell personal data to third parties.

6. Data retention

We retain personal data for as long as you maintain an active account or as needed to fulfill the purposes described in this policy. When you close your account, we delete or anonymize the associated data within a reasonable timeframe, unless a legal obligation requires us to retain it.

7. Data deletion

You have the right to request the deletion of your personal data and account data at any time. To do so:

  1. Send an email to contac@seedsanalytic.com from the address associated with your account, with the subject "Data deletion".
  2. Include your organization or account name and, if applicable, the linked WhatsApp Business number.
  3. We will process your request and delete the associated data within a maximum of 30 days, confirming by email once complete.

If you interacted with an agent through WhatsApp and want to delete your conversation data, you can send the same request to the email above and we will handle it together with the relevant customer.

8. Your rights

In accordance with Colombia's Law 1581 of 2012 and applicable regulations, you have the right to know, update, rectify, and delete your personal data, as well as to revoke the authorization granted for its processing. To exercise these rights, write to contac@seedsanalytic.com.

9. Security

We apply reasonable technical and organizational measures to protect data against unauthorized access, loss, or alteration, including encryption in transit and access controls. No system is completely secure, but we work to maintain an adequate level of protection.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will publish the current version on this page and indicate the last updated date.
